Position Overview
The Accounting Admin Specialist is responsible for supporting AV Concepts Accounting operations by maintaining accurate financial records, performing account reconciliations, posting general ledger entries, assisting with financial reporting, and other duties as assigned by the Controller.
The Accountant Admin Specilaist will work closely with the accounting team and other departments to support the company’s financial processes and goals.
Key Responsibilities
Accounts Receivable Functions
Manage accounts receivable and ensure timely customer billing.
Post cash receipts and maintain accurate financial records.
Reconcile customer accounts to resolve discrepancies.
Set up new accounts in QuickBooks with attention to detail.
Accounts Payable Functions
Ensure completion and accuracy of independent contractor agreement paperwork.
Set up new independent contractors as vendors in QuickBooks.
Enter vendor invoices in QuickBooks and Intelevent (Industry specific Project Management Software) and manage the accounts payable process.
Assist labor team with Independent Contractor Invoice reconciliation and pre and post commission profits.
Print purchase orders with external notes in preparation for check-signing.
Assist with invoice costing and monthly employee expense report reconciliation.
General Accounting Functions
Post general ledger entries and prepare journal entries as needed.
Set up new venue sales tax accounts and ensure compliance with licensing requirements in conjunction with venue staff.
Reconcile inventory accounts (AV Concepts purchases) and monitor expenses against the budget.
Reconcile monthly credit card processing reports.
Assist with the preparation of budgets and monthly financial reports.
Review customer contracts and request insurance certificates as needed.
Job Qualifications
3-5 years of general accounting experience.
Proficiency with accounting software (Quickbooks) and intermediate to advanced Microsoft Excel skills.
Experience with fixed asset management software, CMI preferred but not required.
Strong understanding of general ledger accounting principles.
Ability to identify, troubleshoot, and resolve accounting discrepancies and inefficiencies.
